Job SummaryResponsible for leading and coordinating all front desk functions and assists with volunteer services activities to provide outstanding and professional customer service to promote a positive patient experience.
Acts as a liaison between guests, patients, staff and volunteers to respond to patient and guest information inquiries.
Assists in the processing and verifying documentation of new volunteers and annual in-services.
Assists in the coordination of junior volunteers, college students, and adult volunteers.
Acts as lead for Volunteers and Guest Relations in the absence of Guest Relations manager.
o Greets and receives patients and visitors in a courteous and professional manner.
o Screens visitors and responds to all inquiries, direction requests and concerns in a timely manner.
o Assists in scheduling volunteer interview appointments.
o Ensures new volunteers have completed all necessary testing and the orientation process prior to placement.
o Contacts appropriate departments regarding placement of volunteers.
o Assists with annual in-services for volunteers.
o Prepares monthly schedules for volunteers, and provides support for other clerical duties.
o Acts as lead for Volunteers and Guest Relations in the absence of Guest Relations manager.
o Manages customer complaints/suggestions and escalates through the appropriate channels.
o Creates and maintains a front desk standard operating manual, ensuring the most up to date information is available.
o Creates and plans the orientation and onboarding for all new guest relations representatives.
o Trains all new guest relation representatives and volunteers on the operating procedures of the department and applicable software programs.
o Leads and coordinates monthly department staffing schedule and ensures all shifts are covered o Performs other related duties as required.
Qualifications o High school diploma or equivalent required o Customer service experience required o Verbal and written proficiency in English required o Associates degree in a clinical or business related field preferred o Medical or healthcare office experience, knowledge or terminology preferred o Proficiency in a second language preferred o Computer proficiency in Microsoft Word, Excel, PowerPoint and other electronic health record systems.
Ability to learn new software systems o Ability to consistently provide excellent customer service with a positive and professional demeanor.
o Proven ability to work effectively in a team environment.
o Excellent written and verbal communication skills.
o Ability to adapt quickly and independently in a fast-paced environment, managing multiple competing tasks and demands using critical thinking skills and sound judgement.
o Ability to interact with a broad and diverse spectrum of customers with tact, discretion and compassion.
o Must have attentive listening skills to quickly understand and assess issues presented.
